In many COD stores, confirmation is the biggest expense after advertising. Several agents spend their days on the phone: most calls just to hear a simple "yes", many others with no answer at all. And when volume grows, the only solution seems to be hiring one more agent.

There is another way: let WhatsApp and an AI agent handle the simple cases, and keep your agents for those that really need a human. This guide explains how to cut the cost of confirmation without lowering your confirmation rate.

Where the confirmation money goes

A confirmation agent costs a salary, commissions, a phone and top-ups. But the real cost hides in how their time is spent:

  • Easy confirmations. The customer was expecting the call and says yes in twenty seconds. A message would have done it.

  • Unanswered calls. The customer does not pick up, the agent calls back, then calls back again.

  • Repeated questions. Delivery time, size, colour, whether the parcel can be opened: always the same ones, asked by every customer.

  • Difficult cases. The customer hesitates, wants to change the order or has a real doubt. This is where an agent makes the difference.

If most of your agents' day goes into the first three categories, you are paying people for work a message can do.

Step one: WhatsApp pre-confirmation

As soon as an order arrives, a WhatsApp message goes out automatically with the summary and two buttons, "Confirm" and "Cancel". The customer who was expecting the order confirms in one tap, when it suits them, with no call.

  • Each button moves the order forward in your pipeline: confirmed, or cancelled.

  • If the customer replies with a message instead of a button, the conversation is flagged to be picked up.

  • If the customer does not reply, the order moves after a delay to the step you chose, for example "to call".

Your agents then only call customers who did not reply or who asked a question. It is all explained in our guide to WhatsApp order confirmation.

Step two: KENZI answers your customers

KENZI is Sendocki's AI agent on WhatsApp. She handles the conversations pre-confirmation does not settle:

  • She confirms orders in conversation, and always rephrases before validating: an emoji or an ambiguous "ok" does not count as a yes.

  • She answers questions about the product, delivery and your terms, from your store's information.

  • She reassures and sells: when a customer hesitates, she defends the product with your product sheet, your terms and your written offers, then suggests ordering.

  • She takes new orders from customers who write directly on WhatsApp.

  • She hands over when she does not know: she never invents a price, a delivery time or a discount, and passes the question to your team.

She answers in the customer's language, darija, Arabic or French, at any hour, including in the evening, when your customers have time to read their messages.

Step three: one agent for the real cases

With pre-confirmation and KENZI, your team's work changes. It no longer spends its days dialling numbers: it works through a queue of cases that need a human, such as unreachable customers, orders to change or questions KENZI passed on.

That is what makes it possible to run with a single confirmation agent where several were needed, and to grow without hiring at every step up in volume.

A made-up example, only to show the reasoning. A store receives 3,000 orders a month.

Keeping the confirmation rate high

Cutting the cost only makes sense if the confirmation rate does not drop. Four rules to make sure of it:

  1. Send pre-confirmation right away. A customer contacted a few minutes after ordering remembers it. The next day, much less.

  2. Leave no order without follow-up. An order with no reply must land automatically in the agent's queue, at a step that makes it visible.

  3. Fill in your store's information. KENZI answers with what you give her: product sheets, return terms, delivery times, offers. The more complete they are, the fewer questions she passes on.

  4. Track the numbers every week. Confirmation rate, delivery rate and share of orders confirmed without a call: if one drops, you see it straight away.

And the agent's commissions?

If your agent only handles the difficult cases, their commission should reward what matters: delivered orders. In Sendocki, you set commission rules by role, team or agent, on the step of your choice, and the app does the calculation. See our guide to confirmation agent commissions.

Frequently asked questions

Can an AI agent replace the whole confirmation team?

No, and that is not the goal. KENZI handles everyday conversations and hands over the rest. You still need someone for unreachable customers, order changes and the questions she passes on.

Do customers really reply on WhatsApp?

It is the channel they already use every day. Those who do not reply are simply called by your agent, as before.

What happens if KENZI does not know the answer?

She tells the customer, without inventing anything, and passes the question to your team. She never promises a price, a delivery time or a discount that is not written in your information.

Do I need to change my WhatsApp number?

No. Messages go out from your own WhatsApp Business number, connected to Sendocki.

Key takeaways

Confirmation is expensive when people do work a message can do. Let WhatsApp confirm the simple orders, let KENZI answer, reassure and take orders, and keep your agent for the cases that matter. You pay less, you cover more hours, and your confirmation rate stays under control.
